CANCELLATION, RESCHEDULING & LATE ARRIVAL POLICY

At The Face Clinic Bristol, appointment times are reserved exclusively for each client. As a sole-practitioner clinic, late cancellations, missed appointments and late arrivals significantly impact clinic availability. This policy is in place to ensure fairness to all clients and to allow the clinic to continue delivering safe, high-quality aesthetic care.

1. Booking Deposits

A booking deposit is required to secure all treatment appointments.
The deposit amount varies depending on the type, duration and total cost of the treatment booked.
Deposit amounts are set to reflect the time reserved and potential loss incurred by late cancellation or non-attendance.
The required deposit amount will be clearly communicated at the time of booking and must be paid in full to confirm the appointment.
Booking deposits are deducted from the total cost of treatment on the day of your appointment.
The remaining balance is payable on the day of treatment.
No treatment will be carried out without full payment being received.

2. Client Cancellations & Rescheduling

A minimum of 48 hours’ notice is required to cancel or reschedule a treatment appointment.
Cancellations or rescheduling made within 48 hours of the appointment will result in forfeiture of the booking deposit, regardless of the amount paid.
Failure to attend an appointment without notice (“no-show”) will result in loss of the booking deposit.

Booking deposits are non-refundable outside these terms, in line with the clinic’s Terms & Conditions.

3. Late Arrivals

Clients are expected to arrive on time for their appointment.
If you arrive 15 minutes or more late, your appointment may be deemed a no-show.
In such cases, the appointment may be cancelled and the booking deposit forfeited.
Where clinically appropriate and time allows, appointments may be shortened at the clinician’s discretion; however, full treatment cannot be guaranteed.

Clinical safety, treatment quality and scheduling will not be compromised due to late arrival.

4. Same-Day Cancellations

Same-day cancellations are treated as late cancellations.
The booking deposit will be forfeited regardless of reason, except where required by law or at the clinic’s discretion.

5. Clinic Cancellations

If The Face Clinic Bristol is required to cancel an appointment due to unforeseen circumstances (including illness, emergency or equipment failure):

You will be offered a full refund of the booking deposit, or
An alternative appointment at a mutually convenient time

6. Exceptional Circumstances

Exceptional circumstances may be considered at the sole discretion of the clinic. This does not create an obligation to refund or transfer booking deposits.

7. Acceptance of Policy

By booking an appointment and paying a booking deposit, you confirm that you have read, understood and agreed to this Cancellation, Rescheduling & Late Arrival Policy and the clinic’s full Terms & Conditions.
